For people to join your waitlist, you activate your organization's public link and share it. How the waitlist works as a whole is described in [How the waitlist works](https://help.meetone.io/en/organizations-admins/how-the-waitlist-works).

## Prerequisites

- The waitlist is enabled for your account.
- You are an organization owner and work in the organization as a practitioner or medical assistant. Only then do you see **Waitlist** in your organization's sidebar and **Waitlist link** under **Organization › Integrations**.

## Activate the link

1. Open **Organization › Integrations › Waitlist link**. From the waitlist, **Form settings** at the top of the page takes you there.
2. Switch on **Link active**.
3. Optional: under **Email for notifications**, enter the address that should hear about new entries. If you leave it empty, notifications go to your organization's email address (**Organization › Account**) or, if there is none, to all owners.
4. Click **Save**.

Under **Waitlist link** you now find the address of the form. **Open form in new tab** shows it the way people will see it.

## What people enter

The form always asks for the same details:

- **Required:** **First name**, **Last name**, **Email**, **Date of birth** and **Insurance** (**Statutory**, **Private** or **Self-pay**).
- **Optional:** **Phone number**, address, **General practitioner**, **Preferred time** (**Morning**, **Afternoon** or **All day**), a preferred person in your organization, whether they would like an initial consultation, and a **Message**.
- **Your own questions**, if you have added any (see the next section).
- **Consent** to the processing of their details. The text is fixed; see [How the waitlist works](https://help.meetone.io/en/organizations-admins/how-the-waitlist-works#from-the-form-to-a-booked-appointment).

The label for the preferred person depends on how your account is configured, for example **Preferred practitioner**. People can choose from your organization's practitioners; **No preference** is preselected.

## Add questions of your own

With a waitlist questionnaire of your own, you also ask for what you need for planning, for example whether someone would like to join a group.

1. Open **Waitlist** in your organization's sidebar.
2. Click **Edit questions** at the top.
3. Add the questions the way you know from other questionnaires. The questionnaire builder is described in [Build and manage questionnaires](https://help.meetone.io/en/organizations-admins/build-manage-questionnaire-templates).

For the waitlist questionnaire:

- Your organization has exactly one. Under **Questionnaires** you recognize it by the **Waitlist** label.
- It belongs to no appointment type, has no file upload questions, and can neither be duplicated nor published through a link of its own.
- You see the answers with each entry. Every choice question gets its own filter on the waitlist.

**Edit questions** only appears if questionnaires are available for your account.

## Offer the form

- **As a link:** share the link, for example on your website, in your email signature or in your voicemail greeting.
- **On your website:** on the same page, under **Waitlist – iFrame integration**, you find the HTML code your web developer uses to embed the form directly in your website. The form adjusts its height by itself.
- **In the website widget:** under **Organization › Integrations › Website widget**, select **Waitlist** under **Functions on offer**. The widget only offers it while **Link active** is switched on. See [Set up the website widget](https://help.meetone.io/en/organizations-admins/set-up-website-widget).

## Disable or renew the link

- **Pause new entries:** switch off **Link active** and save. Anyone who opens the link then sees **Waitlist not available**, and the website widget no longer offers the waitlist. People who signed up before can still confirm their email address.
- **The link has fallen into the wrong hands:** click **Create new link**. The previous link stops working immediately. Existing entries are kept.

> **Warning**
>
> After **Create new link**, replace the link everywhere you shared or embedded the old one – including the iFrame code on your website. The website widget uses the new link automatically.

## Troubleshooting

- **I can't find the waitlist.** The waitlist must be enabled for your account, and only organization owners who work as a practitioner or medical assistant see it. Contact our support team.
- **People see "Waitlist not available".** **Link active** is switched off. Switch it on and save.
- **People see "Invalid link".** The link was copied incorrectly or has since been renewed. Share the current link from **Waitlist link**.
- **The waitlist is missing from the website widget.** The link is disabled, or the waitlist isn't selected under **Functions on offer**.
