Around the waitlist, MeetOne sends emails to the people on your list and to your organization. This article shows which emails these are, in whose name they go out, and what you can do when one doesn't arrive.

Which emails there are

Email To When
Please confirm your waitlist entry the person who signed up right after they send the form
New entry on your waitlist or … new entries on your waitlist your organization about 10 minutes after the first confirmation
… would like to schedule an appointment with you the invited person when you invite them to book
Are you still interested? people who are waiting or invited every 6 months

After a booking through the invitation, the usual appointment confirmations go to the person and to the professional they booked with.

The entry confirmation

With the Confirm entry button, the person confirms their email address. Only then does the entry appear on your waitlist. The link is valid for 7 days; anyone who doesn't use it has to sign up again. Anyone who didn't sign up themselves can ignore the email, or remove the details right away with Delete my data now.

The notification to your organization

The notification sums up all entries confirmed in the roughly 10 minutes after the first confirmation, and only gives their number, no names and no addresses. Log in takes you to the waitlist.

It goes to the address under Email for notifications on the Waitlist link page. If none is entered there, it goes to your organization's email address (Organization › Account) or, if that is missing too, to all owners.

The invitation to book

The subject names the person the appointment is with, or your organization if the invitation isn't tied to one person. With Select Appointment, the person picks a free appointment. A new invitation replaces the previous one, and the link in the older email then stops working.

The "Are you still interested?" email

With Yes, keep me on the list, the person confirms they want to keep waiting. The email also tells them that without an answer their entry is archived after 30 days and deleted another 30 days later. The deadlines in detail are in How the waitlist works.

In whose name the emails go out

  • Sender and name: the emails to people on your list name your organization. They come from your MeetOne platform's sender address.
  • Replies: if someone replies to the confirmation or to the "Are you still interested?" email, the reply goes to your organization's email address or, if there is none, to the address under Email for notifications. Fill in one of the two so replies reach you.
  • Language: the emails to a person are in the language they filled in the form in. The booking page of the invitation opens in that language too.

Leaving the waitlist

Every email to a person on your waitlist – confirmation, invitation and "Are you still interested?" – contains the link Remove me from the waitlist and delete my data. at the bottom. It leads to the Leave the waitlist page. After a click on Remove me and delete my data, the entry and all details are deleted immediately. This cannot be undone.

Email programs that show their own unsubscribe button next to the sender use the same route. Your organization isn't notified; the entry simply disappears from the list.

When an email doesn't arrive

  • The confirmation doesn't arrive. The person should check their spam folder. If they mistyped their address, they simply sign up again; the unconfirmed entry is deleted on its own after 7 days. You don't see unconfirmed entries and can't resend the email.
  • The invitation doesn't arrive. Check the email address in the entry. If it's correct, the person should check their spam folder; you can also invite them again. If the address is wrong, the person has to sign up again with the right one, because you can't change an entry's details.
  • An entry was archived although the person still wanted to wait. They didn't answer the "Are you still interested?" email within 30 days, or their mailbox permanently rejected it. Until the deletion, they can still come back through the link in that email; after that, they sign up again.
  • The notification about new entries doesn't arrive. Check the address under Email for notifications and your spam folder. You can see new entries on the waitlist at any time regardless.
