MeetOne follows defined retention periods before permanently deleting the personal data of removed accounts. You can trigger part of this yourself; the periods themselves are configured for your account by MeetOne.

Prerequisites

  • The Organizations feature is enabled for your account.
  • You are set up as an organization owner.

Removed team members

When you remove a practitioner, their account is first only marked as deleted; the data is kept for a defined period (60 days by default). Within that period, you can request restoring the account through our support. Once the period ends, MeetOne erases the data automatically and permanently. You can also erase the entry yourself at any time – even before the period ends – using Erase permanently; it cannot be restored after that. Permanent erasure is irreversible. Medical or legally relevant documentation already created (e.g. issued prescriptions) may still be retained independently of this, for legal reasons.

Automatic deletion of inactive participants

Where enabled for your account, MeetOne automatically removes a participant's personal data once no activity (no appointments, prescriptions, messages, questionnaire responses, or participant record entries) has occurred for a defined period. This period is configured for your account by MeetOne, based on your contractual and legal requirements.

Requesting changes to these periods

The retention period and automatic deletion of inactive participants aren't currently self-service options in your account. For changes, or questions about the periods that apply to your account, contact our support at support@meetone.io.

Troubleshooting

  • I want to change the retention period for my account. This isn't a self-service option — contact our support.
  • An account is still visible even though it was recently removed. While the retention period is running, the entry remains visible marked as deleted and can still be restored. To remove it right away, use Erase permanently.
  • Erase permanently fails. If the person created treatment documentation for participants, that documentation is retained for record-keeping reasons and the account cannot be permanently erased – contact our support.
