As an organization owner, availability types let you define the kinds of appointments your organization offers — including duration, planner color, and visibility on the online booking form.
Prerequisites
- The Organizations and Appointment booking features are enabled for your account.
- You are set as an organization owner — see Understand roles and permissions.
What an availability type is
An availability type describes a kind of appointment, for example "Initial consultation" or "Follow-up." It defines:
- the display name shown to participants and professionals,
- the appointment duration in minutes,
- a color used to mark appointments of this type in the planner,
- whether the type is bookable, i.e. selectable on the online booking form,
- whether a questionnaire is automatically sent to the participant after booking,
- whether participants must read and accept a consent declaration before booking (require consent declaration, if this feature is enabled for your account).
You can also add an optional description that helps participants when choosing on the booking form, as well as mailer instructions that get inserted into confirmation and reminder emails for this type.
Your organization comes with a system-reserved availability type used for onboarding new participants. You can edit it, but you can't delete it.
Create an availability type
- Open Organization > Availability types.
- Click New availability type.
- Enter the display name and appointment duration, and pick a color from the suggested palette.
- Turn on Bookable, Send questionnaire after booking, and, if available, Require consent declaration as needed.
- Optionally add a description and mailer instructions.
- Save your changes.
Edit or delete an availability type
- Click the availability type's name in the list, or click Edit in the actions menu.
- Adjust the fields you need and save.
To delete one, choose Delete from the actions menu. An availability type can't be deleted while questionnaires are still linked to it, or if it's the reserved onboarding type.
Where availability types appear
- In the planner, appointments are shown in the color assigned to their availability type.
- When creating an appointment, professionals and medical assistants pick the availability type from a list.
- On the online booking form, participants only see types marked bookable; if only one bookable type exists, it's selected automatically.
Troubleshooting
- I can't delete an availability type. Check whether questionnaires are still linked to it, or whether it's the reserved onboarding type.
- Participants don't see an appointment type on the booking form. Check whether the type is marked bookable.
- The "Availability types" section is missing from my menu. This feature requires Organizations and Appointment booking to be enabled for your account, and that you're set as an organization owner.
