As an organization owner, consent templates let you set the text participants must read and accept before an appointment.

Prerequisites

  • The digital consent feature is enabled for your account.
  • You are set as an organization owner.

A consent template consists of a title and a consent text (Markdown formatting supported). Only one template can be active per organization at a time — it's shown to participants when they book an appointment whose availability type requires a consent declaration. See Configure appointment types (availability types) for that setting.

Consent templates are distinct from the consent history in the participant record: templates set the text participants accept before booking, while the participant record separately logs individual, per-participant consents documented during treatment. See Document consents for that.

Create a template

  1. Open Organization > Consent templates.
  2. Click New consent template.
  3. Enter a title and the consent text.
  4. Turn on Active to make this the active template for your organization — any previously active template is deactivated automatically.
  5. Save your changes.

Edit a template

As long as a template hasn't been used by any appointment yet, its full text can be edited. Once at least one appointment references it, it's considered in use: the text is shown read-only and can no longer be changed — only the title and active status stay editable. To change the wording, create a new template instead and activate it.

This lock ensures the text shown for a past appointment stays traceable afterward.

Delete a template

A template can be deleted as long as it's not in use. Once at least one appointment references it, it can no longer be deleted.

Troubleshooting

  • I can no longer change a template's text. The template is already in use — create a new template instead and activate it.
  • I can't delete a template. Once a template has been used by an appointment, it can no longer be deleted.
  • Participants don't see a consent declaration when booking. Check whether the selected availability type requires a consent declaration and whether an active template is set.
