The Contacts section shows the participant contacts across your whole organization; the Legal documents section holds the documents relevant to running your organization.
Prerequisites
- The Organizations feature is enabled for your account.
- Contacts is available to organization owners and medical assistants; Legal documents is limited to organization owners.
View and maintain contacts
- Open Organization > Contacts.
- Search the list by name or email using the search field.
- Each entry also shows which practitioner the contact belongs to.
This list gathers the contacts of every practitioner in your organization. New contacts are created automatically whenever a practitioner books an appointment with a new participant — depending on your organization-wide setting for automatically saving contacts under Organization > Settings.
Edit or remove a contact
- Click Edit on a contact to adjust its name, email, or phone number, then save.
- Use the corresponding option in the list to remove a contact.
You don't add new contacts directly from this overview — they're created automatically through the relevant practitioner's appointments.
Legal documents
As an organization owner, open Organization > Legal documents. There you'll find, among other things:
- Data Processing Agreement (DPA): you create it yourself via a form — who needs one and what it covers is explained in Request a Data Processing Agreement (DPA).
- A consent form for video consultation use and patient information templates under Art. 13 GDPR (for medical and therapeutic organizations, counseling centers, and law/tax firms) as downloadable, editable templates.
- Certification proofs for GDPR and IT security certification.
- Information and forms related to registering with the Association of Statutory Health Insurance Physicians (KV) for billing video appointments.
The technical and organizational measures (TOM) and the subprocessor list are included in the DPA and aren't provided separately.
Troubleshooting
- I don't see "Contacts" or "Legal documents". Both sections require Organizations to be enabled for your account; "Legal documents" is additionally limited to organization owners.
- A contact is missing from the list. Contacts are created automatically through appointments — check the setting for automatically saving contacts under Organization > Settings.
