When a participant submits an appointment request through your booking link or embedded form, it appears in your account for you to handle.
Prerequisites
- This feature is available under Appointments, if enabled for your account.

Where to find appointment requests
Open Appointments in the sidebar and switch to the Requests tab (this area is also referred to as the "waitlist" in some places in MeetOne). Each request shows the requester's contact details and the preferred times they entered as free text.
How to accept a request
- From the request's menu, select Accept Appointment.
- In the dialog that opens, choose the date, time and duration for the appointment, plus an optional message to the participant. You're not bound to the times the participant suggested – you set the actual appointment time.
- Save the proposal.
The participant then receives an email asking them to confirm the proposed time. Only after they confirm does the appointment count as confirmed and appear in your regular appointments overview.
Declining or removing a request
There's no separate "decline" action. If you don't want to accept a request, select Delete appointment request from its menu – this sends no notification to the requester. Reach out to the person directly if a personal response makes sense.
Common issues
- A request has suddenly disappeared. Confirmed requests move to your regular appointments overview; deleted requests are permanently removed.
- The participant hasn't confirmed the proposed time yet. The appointment stays marked as "pending" until they do. Reach out directly if needed.
- The participant can't make the proposed time. The request automatically returns to your list of open requests, and you'll receive an email notification so you can propose a new time.
