With the secure inbox, participants and third parties – such as relatives or other organizations – send you documents encrypted. You share a permanent upload link; the sender doesn't need a MeetOne account.

Prerequisites

The Secure inbox must be enabled for your account. You'll then find it under Integrations in the sidebar.

  1. Open Integrations in the sidebar and click Secure inbox.
  2. Under Your upload link, you'll find your personal upload URL. As long as Upload link active is switched on, external senders can send you documents through it.
  3. Optional: Under Greeting on the upload page, add a short note – for example, which documents you're expecting.
  4. Optional: Under Send notifications to, enter a different email address for notifications. If you leave the field empty, notifications go to your own address.
  5. Click Save.

Then share the link – for example in your email signature, in an appointment confirmation or on your website.

If you'd rather show the upload form directly on your website, you'll find the matching HTML code for your web developer on the same page under Secure inbox — iFrame Integration. The technical details are in the developer documentation: Embed the Secure Inbox Upload Form.

What senders do

Anyone who opens your link enters their first and last name, email address and an optional message to you, confirms the email address with a 6-digit code, and then uploads up to 10 PDFs or images. The sender then receives a confirmation of receipt by email. The flow from the sender's side is described in Send documents through an upload link.

How to view received documents

  1. Open Secure Documents in the sidebar and, if shown, switch to the Inbox tab.
  2. New submissions are marked Unread. Open a submission to see the sender, their email address, the time, the message and the documents.
  3. Use Download to save a document, for example to add it to the patient record.
  4. Use Delete to permanently remove a submission's files – there is no trash to restore them from. The sender's name, email address, time and message are kept.

Received documents don't expire: they stay in your inbox until you delete them.

Personal submissions are visible to you and to your organization's medical assistants; other professionals in the organization can't see them. Anyone who can see a submission can also download and delete its files.

An email tells you about new submissions. It is sent about 10 minutes after the first upload and covers every submission received in that time.

Besides your personal link, your organization can have a shared upload link. All professionals and medical assistants in the organization see submissions sent through it in the Inbox tab; the submission then shows "Organization" instead of "Personal" under Inbox. The organization owner manages this link under Organization › Integrations › Secure inbox, with the same settings as above. If Send notifications to is left empty there, notifications go to the organization's address or, if none is set, to all organization owners.

Your organization can also offer its upload link through the website widget.

  • Temporarily stop accepting documents: Switch off Upload link active and save. Anyone opening the link then sees that uploading is currently not possible. Switch it back on and the same link works again.
  • The link has reached the wrong people: Click Renew link. You get a new link, and the previous one stops working immediately.

After Renew link, replace the old link everywhere you shared or embedded it – including the iframe code on your website.

Common issues

  • I can't find Secure inbox under Integrations. The feature needs to be enabled for your account. Contact your organization administration or our support team.
  • Senders see "Link not found". The link was copied incorrectly or has since been renewed. Share the current link from the Secure inbox page.
  • I'm not receiving notifications. Check the Send notifications to field and your spam folder. Either way, you can always see new submissions in the Inbox tab.
