Secure documents let you send confidential files such as lab results, reports, or invoices in encrypted form to participants or third parties — even if the recipient has no MeetOne account.
Prerequisites
The Secure documents feature must be enabled for your account.
Create a new document
- Open Secure Documents in the sidebar and click New document.
- Give it a title (e.g. "Lab results May 2026") and an optional description. This description is shown to the recipient when they open the document.
- Enter the recipient name and recipient email, and choose the delivery channel (email or, if enabled for your account, SMS; SMS requires a mobile number).
- Drag your files into the field or select them — up to 10 files, 25 MB each, as PDF, image (PNG/JPG/WEBP), or Word document.
- Choose the access mode:
- Can only be retrieved once: the document is destroyed as soon as the recipient opens it for the first time.
- Disabled: the document stays available until the date you set under Expires at (default: 14 days).
- Click Send securely.
The recipient gets a link, and after opening it, a 6-digit verification code by email to open the document. They don't need a MeetOne account of their own.
Manage a sent document
Open a document from the Secure Documents list to see its details, delivery status, and retrieval counter. Under More actions you'll find:
- Resend link: invalidates the previous link and sends the recipient a new link with a new code — useful if the original message didn't arrive, or a single-use document was accidentally consumed.
- Revoke link: blocks access immediately and deletes the file.
- Audit trail: a complete log of every event — creation, delivery, link opened, code attempts, viewing, and downloads.
- Delete: permanently removes the document, including its audit data.
A revoked or expired link cannot be reactivated. Use Resend link instead to give the recipient new access.
When to use secure documents instead of a chat attachment
Use secure documents when the recipient has no MeetOne account (for example a third party such as a family member or another organization), when access needs to be time-limited or revocable at any time, or when you need a complete audit trail. For ongoing exchange with a participant you already message, use chat instead.
Common problems
- The recipient didn't get an email. Ask them to check their spam folder, or send a new link using Resend link.
- The verification code is rejected. After several failed attempts, the code is locked. Send a new link in that case.
- A file isn't accepted. Check the format (PDF, PNG, JPG, WEBP, Word) and size (max 25 MB per file).
