The secure messaging feature lets you communicate directly with your participants, exchange files, and keep track of several cases at once.
Prerequisites
Messaging must be enabled for your account.
Open a conversation
Each participant has exactly one conversation. It's created automatically as soon as you or your participant send the first message.
- Click Cases in the sidebar.
- Select the right participant from the list, or use search to quickly find a specific case.
Send a message and attach files
- Write your message in the conversation's text field.
- Use Add attachment to attach one or more files, for example images, PDFs, or Word documents (up to 25 MB each).
- Click Send (or use Ctrl/Cmd+Enter).
Manage several conversations
You'll usually have several open cases at once. Use the sidebar filters to stay on top of them:
- All cases – every conversation
- My cases – only your own conversations
- Open cases – cases still waiting for a reply
If a colleague is currently handling the same case, you'll see an "In progress by …" notice. This prevents two people from replying to the same participant at the same time.
Mark a case as done
As soon as you reply to a participant, the conversation is automatically marked as done. If the participant writes again, it automatically reopens. You can also mark a conversation as done manually at any time using Mark as done.
Copy an attachment to the participant journal
If a message from your participant contains a file attachment, you can copy it directly into the participant journal using Copy attachment to patient file, if that feature is enabled for your account.
For a one-off confidential document without an existing conversation — for example to a third party without a MeetOne account — use Secure documents instead.
Common problems
- I can't send a message. Check your internet connection and whether there's an active connection to this participant.
- The attachment is rejected. Check the file size (max 25 MB per file) and use a supported format.
- I don't see the messaging feature. It may not be enabled for your account — contact your organization administrator or our support team.
