You can cancel your organization's plan directly in your account. This article explains the steps, the notice periods that apply, and what happens until and after the end date.
Prerequisites
- The Organizations feature is enabled for your account.
- You are set up as an organization owner.
- Your plan is enabled for self-service. This applies to active plans with automatic renewal. Managed plans, individually negotiated plans, trial plans, and plans without a scheduled renewal don't show a cancellation option — contact our support team for those, as before.
Cancel your plan
- Open Organization > Plan.
- Below your plan card, click Cancel plan.
- On the following Cancel plan page, review your plan, the number of users, the end of the current billing period, the date your plan will end, and an explanation of what cancelling means for you. You can optionally add a reason for cancelling.
- Click Cancel plan to confirm the cancellation. Click Back to leave the page without cancelling.
Notice periods
How long your plan keeps running depends on your billing interval (per § 9 of our terms and conditions):
- With monthly billing, you can cancel until the last day of the current billing period (23:59).
- With yearly billing, a notice period of 14 days before the end of the term applies.
If you cancel later than that, your plan renews once more for the minimum term, and the cancellation takes effect only at the end of that renewal. The actual end date is shown on the Cancel plan page before you confirm.
Until the end date and after
Until the end date, you can keep using your plan without restriction. Nothing further is billed for the time after that; charges already incurred are not affected.
From the end date, your organization's professionals can no longer create new video appointments. You, as the person who cancelled, and the billing email address on file for your organization also receive a confirmation email with the end date.
Revoke a cancellation
As long as your plan hasn't ended yet, the Plan page shows Cancelled – your plan ends on [date] at the top, along with a Revoke cancellation action.
- Open Organization > Plan.
- Click Revoke cancellation.
- Confirm the dialog that follows.
Your plan then continues as normal and renews on the next billing date as before. Revoking is also confirmed to you and to the billing email address on file by email.
While a cancellation is pending
- Change plan isn't available while a cancellation is pending — revoke the cancellation first.
- You can still increase the number of users; additional users are billed for the remaining period. Decreasing the number of users isn't possible while a cancellation is pending.
- If you had previously scheduled a decrease in the number of users, it is dropped, since the plan ends at the end of the current period.
Your data after the end date
After the end date MeetOne retains your organization's data for 60 calendar days in accordance with the terms. During this period you can request the return of your data in text form (for example by email to support@meetone.io). The data is then deleted unless statutory retention obligations apply.
If you want your data deleted earlier, contact our support team at support@meetone.io — your right to erasure is not affected by the retention period, unless statutory retention obligations apply.
Pausing or reactivating a plan that has ended
Pausing your organization subscription yourself is still not a self-service option. The same applies if you want to reactivate a plan that has already ended. Contact our support team for this at support@meetone.io.
What to check first
- End date: the exact date your plan will end is shown on the Cancel plan page before you confirm the cancellation.
- Team and seats: an overview of active practitioners and medical assistants helps you assess which accounts will no longer be usable from the end date — see Invite and manage team members.
Resolve any open questions about data retention and export with our support team before the 60-day period ends — data deleted after that can't be restored.
Troubleshooting
- I can't find a button to cancel. Possible reasons: your plan is managed individually, you're not set up as an organization owner, or the plan is already cancelled. Contact our support team in that case.
- The plan ends later than expected. The notice period was likely missed — the plan then renewed once more for the minimum term. The new end date was shown on the confirmation page and sent to you by email.
- I only want to pay less temporarily. Check whether decreasing your number of users via Manage your plan and subscription works for you — that's not a cancellation.
