With the waiting room, you decide when a participant or any additional participant enters the video call — instead of connecting automatically, the person waits until you admit them.
Prerequisites
The waiting room must be enabled for your account. You also turn it on for each appointment individually — without this second setting, the waiting room stays off for that appointment.
Turn on the waiting room for an appointment
- Open the appointment form when creating or editing an appointment.
- Turn on the Enable waiting room option.
- Save the appointment.
Any additional participants you invite to the appointment go through the same waiting room as the participant. See Invite additional participants to an appointment.
What participants and additional participants see
When someone opens their join link, they first land on a waiting screen that says "Waiting for the host". The call only starts for them once you admit them. They can leave the waiting room at any time using Leave waiting room.
Admit or deny participants
- Start the video call as usual.
- The Waiting room list shows everyone currently waiting.
- Click Admit to let the person into the call, or Deny to turn them away.
A denied person sees the message "Unable to join the appointment" with a link back to the previous page.
Only you, as the host, see the waiting room and can admit or deny participants. For more on in-call controls, see Conduct a video appointment.
Common problems
- The "Enable waiting room" option is missing from the appointment form. The waiting room may not be enabled for your account — contact your organization administrator or our support team.
- The participant enters the call directly without waiting. Check whether the waiting room was turned on for this specific appointment — the account-level setting alone is not enough.
- Nobody appears in the waiting room even though the person says they're waiting. Reload the page, and make sure you joined via your own host link.
