The room configuration decides, for each video appointment, which features are available in the call. The settings apply to everyone in the call: you, the participant and any additional participants.

How to set the room configuration

  1. Create an appointment, or open an existing appointment for editing.
  2. In the Room configuration section, switch the options you want on or off.
  3. Save the appointment.

All options are switched on for a new appointment. Appointments that participants book online also get all options.

What the options do

Enable chat

The call has a chat in which everyone present can write text messages and exchange files, for example PDF documents, images or Office files. The chat works as soon as at least two people are in the room.

After leaving the room, chat messages and files are no longer accessible. Save important files while the call is still running.

Enable screen sharing

Everyone present can share their screen in the call, as soon as at least two people are in the room. Screen sharing is not available on iPhone and iPad. See Share your screen.

Enable whiteboard

This option only appears if the whiteboard is enabled for your organization, which means it is included in your plan. With it switched on, you as the host can open a shared whiteboard during the call, on which you draw and write while the others watch. Participants cannot draw themselves. See Use the whiteboard.

Enable invites

The call's settings menu gets an Add participant entry. It shows a link that you copy with Copy link and send yourself to the person you want to bring in, for example by email. MeetOne does not send this link. Whoever opens it can join the call; if the waiting room is turned on, they wait there until you admit them.

Everyone present sees the entry, not only you. If you don't want participants to bring in other people during the call, switch the option off.

If you already know who else should attend when you create the appointment, invite them as additional participants instead: they then receive their own emails with their access link. See Invite additional participants to an appointment.

Show audio indicator

A small level meter next to the microphone button shows whether the microphone is picking up sound. Each person sees the level of their own microphone. With the option switched off, the meter is not shown in the call. On the join screen before the call, it is always shown.

Change the settings later

You can change the room configuration as long as the appointment can still be edited. The change applies to everyone who enters the call afterwards. Anyone already in the call only sees it after the page has been reloaded.

What is not part of the room configuration

  • Waiting room: if enabled for your account, you turn it on with a separate option in the appointment form. See Use the waiting room.
  • In-person appointments: if you choose a location under Location, no video room is created and the Room configuration section is hidden. See Create an in-person appointment.

Common problems

  • The "Room configuration" section is missing from the appointment form. A location is selected under Location. In-person appointments have no video room and therefore no room configuration.
  • The "Enable whiteboard" option is missing. The whiteboard is not included in your plan. Contact your organization's administrator or our support.
  • The call shows "The chat is currently unavailable". You are alone in the room. The chat only works once at least two people are present.
  • An option has no effect in the running call. Reload the page. Changed settings only apply after a reload.
